Bottom line up front: What should a growing sales team look for in a CRM beyond the free tier?

Free CRMs stop at 2 users on HubSpot and Salesforce and 3 on Zoho CRM, so price the seat you'll grow into: from $7/seat/mo on HubSpot, $14 on Pipedrive and Zoho CRM, $25/user/mo on Salesforce.

But a CRM rarely fails on features. It fails because reps stop entering data, and then the pipeline report is fiction. So before any trial, write down your pipeline stages and the handful of fields a rep must fill to move a deal, then test each tool by logging a real deal on a phone between meetings. That test separates them: HubSpot's mobile app can't view or edit records without a connection, while Pipedrive's apps keep working offline and sync later.

What this means for your team

  • Audit reports: HubSpot, Salesforce, Pipedrive and Zoho CRM state a SOC 2 report on their own site; we found no SOC 2 statement for Attio. If your security team requires SOC 2, ask Attio directly before shortlisting.
  • Single sign-on: HubSpot includes it on Professional; Salesforce includes it on All editions; Pipedrive includes it on All plans; Zoho CRM includes it; Attio includes it on Enterprise. If your team signs in through Okta, Microsoft Entra ID or Google, price the HubSpot, Zoho CRM and Attio plans that include SSO, not their entry plans; Salesforce and Pipedrive include it on the entry plan.
  • Health data: HubSpot, Salesforce and Zoho CRM will sign a HIPAA business associate agreement (HubSpot: Enterprise). We found no BAA offer for Pipedrive and Attio, so keep protected health information out of them.
  • Working offline: Salesforce, Pipedrive and Zoho CRM let you keep working without a connection; HubSpot works offline only in part; Attio doesn’t document an offline mode. Details are in the Offline mode row above.
  • Office-only access: HubSpot can restrict sign-ins to approved IP ranges on Starter; Salesforce can restrict sign-ins to approved IP ranges on All editions (per-profile ranges on Enterprise and up); Pipedrive can restrict sign-ins to approved IP ranges on Ultimate; Zoho CRM can restrict sign-ins to approved IP ranges. That suits an office network or a company VPN; fully remote teams need a VPN for it to work.
  • Where your data lives: HubSpot lets you choose US, EU, Canada, Australia on Starter; Salesforce lets you choose US, EU, UK, Canada, Australia, Japan, India, Brazil, Singapore, South Korea, Indonesia, Israel, Switzerland, South Africa, UAE; Zoho CRM lets you choose US, EU, India, Australia, Japan, Canada, Saudi Arabia, UAE, Singapore, China; Pipedrive hosts accounts in Australia, Canada, EU, UK, US, assigned from the region you sign up from rather than chosen.
