HelpCompare is an independent comparison site for business software. We show what each SaaS tool will actually cost your team, with every price taken from the vendor’s own pricing page and dated.

It exists because most “best software” lists are pay-to-play. We audit pricing and features directly from the source and publish our method in the open.

Bill has worked in software and digital marketing for more than 20 years, and he describes himself as an engineer by training, an operator by experience and a marketer by choice. He spent eight and a half years at HP as a product development engineer, program manager and supplier manager, where managing global repair suppliers delivered $3M in cost avoidance. He then became COO of Auctiva, the number one third-party selling platform on eBay, scaling it past 200,000 users and $20M a year before its acquisition by Alibaba. As VP of Product at Alot.com in New York he was the person on the phone with Google about a search syndication partnership worth $70M a year.

For the next 13 years he built his own web properties with his own money at stake: PPC arbitrage into CPA offers, affiliate systems, Amazon FBA, domain portfolios, blog networks and a 35,000-subscriber email list. Since then he has led SEO for Brian Tracy, Jack Canfield and Rule #1 Investing at Brandetize and, most recently, directed search and strategy for law-firm clients. He works from Litchfield Park, Arizona, and has bought, trialled, integrated and cancelled more SaaS tools than he can count.

Tools Bill has paid for in his own work: Ahrefs, Semrush, Screaming Frog, SurferSEO, WordPress, Google Ads, Amazon Ads, Cloudflare, AWS, Google Analytics 4, ChatGPT, Claude, Gemini and Perplexity. His opinions on those tools are labelled, and their prices on this site come from the vendors like every other price.

Why HelpCompare exists

The idea came from a conversation with a former co-worker, a project manager who ends up owning every SaaS tool her team uses. Her complaint will sound familiar: it is hard to justify what these tools cost, and harder still to check that they deliver what the vendor promises. The pain nobody budgets for, though, is switching. Moving your data, workflows, integrations and people from one tool to another is where the real cost and risk hide, and almost no comparison site covers it.

HelpCompare was built to fill that gap. Next to side-by-side comparisons, we publish step-by-step migration guides, cost calculators and pricing data taken from each vendor’s own pages, so you can make the decision, and survive the move, with real numbers.

A note from Bill

I’ve sat on both sides of the table: the agency recommending the tool and the client paying for it. I’ve seen nearly every tactic in the marketing playbook, so I know how easily “best software” lists get bought, built and gamed. That’s why HelpCompare takes no paid sponsorships and earns no affiliate commissions. I don’t know everything about every tool, but I usually know someone who does, and when we don’t know something, we’ll say so.

Most consultants have never owned the risk. I have, for thirteen years, with my own money, and it changed how I read a pricing page: I look for the seat minimum, the onboarding fee, the contract term and the importer that doesn’t import. That’s why most pages here now open with my bottom line up front: three to five sentences on what I’d actually do, built only on the verified data on that page and labelled as my opinion. If you only read one thing on a page, read that.

Bill writes HelpCompare together with the HelpCompare team. We research every tool, write each comparison and check every figure against the vendor’s own site, and Bill is the author accountable for everything we publish.

Every comparison is built the same way: we open each vendor’s live pricing page, cross-check the claims against G2 and Capterra review data, and re-verify the numbers before anything ships. When an article says a plan costs $29/mo, that is the figure on the vendor’s own pricing page as of the publish date shown at the top of the article, not a cached, estimated, or AI-generated figure.

Every comparison lists the date it was last checked. We re-verify pricing and feature claims at least once per quarter, and sooner whenever a vendor announces a pricing change. Star ratings in the tables are quoted directly from G2, with the date we checked them, and are never authored by us.

No pay-to-rank

Placement on HelpCompare is never for sale. We don’t rank tools with scores of our own, and no advertiser influences the order tools appear in.

Real cost math

We normalize usage-based, seat-based, and credit-based pricing into a single total-cost-of-ownership view so you can compare apples to apples.

Public methodology

Every comparison follows the same documented process, and we revisit our numbers as vendors change pricing or features.

Our methodology

Every comparison on HelpCompare goes through the same four-step process before it is published or updated:

1. Source pricing directly from vendors

We pull current pricing tiers, usage limits, and feature lists from each vendor’s official pricing and documentation pages rather than relying on third-party estimates.

2. Normalize the cost model

Usage-based, seat-based, and credit-based pricing structures are converted into a comparable total-cost-of-ownership estimate for a representative usage scenario.

3. Keep verified data apart from editorial assessment

Every comparison separates two kinds of content and labels each section so you can tell them apart:

  • Verified data. Prices, per-seat and per-user costs, usage limits, which features each plan includes, AI charges, free tiers, trial length and contract terms. Each one is recorded from the vendor’s own pricing page or documentation and carries the date we checked it. If a vendor publishes nothing, we say “Not published” instead of estimating.
  • Editorial assessment. Ease of use, depth of features, value for money, and which kind of team each tool suits. This is our judgment, built on the verified data on the same page, and it is marked as ours. We publish no numeric scores of our own. The only star ratings on the site are G2’s, quoted with the date we checked them.
  • Estimates. The switching-cost estimators in our migration guides run on your inputs and the assumptions printed beside them, not on vendor prices.

We don’t crown one overall winner. Teams of different sizes pay different prices and need different things, so each comparison shows which situations each tool fits.

4. No affiliate links, no paid placement

HelpCompare does not use affiliate or referral links, and no vendor pays for a link, a placement or a review. See our Affiliate Disclosure.

Spot outdated pricing or a factual error? We re-verify every comparison periodically, but vendor pricing changes fast — treat published figures as directional and always confirm on the vendor’s own site before purchasing.
