Bottom line up front: Can a business use Gemini without buying Google Workspace?

Not properly: business Gemini comes inside Google Workspace from $7/user/mo on annual billing, and the full version in Docs, Sheets and Meet starts at Business Standard, $14/user/mo.

The data terms depend on the account, not the app. Chats from licensed Workspace users aren't human-reviewed or used for training, staff signed in with personal Google accounts don't get that protection, and admins can retain, hold and export Gemini conversations with Google Vault regardless of user deletion settings. People use whatever is already signed in, so a personal account on a work laptop is where company data slips out; make the Workspace login the default in every browser profile before you announce anything. Then set Vault retention on purpose with whoever handles your legal obligations, because every AI chat you keep is a record someone can ask for in a dispute, and keeping everything forever isn't the safe default it sounds like.
