Bottom line up front: Which AI assistant should a small team pay for to write and research?

Check what your office suite already includes before buying anything: Gemini comes with Google Workspace from $7/user/mo, and Copilot Chat is free with eligible Microsoft 365 business plans.

Standalone plans have floors, with ChatGPT Business and Claude Team both from $20/seat/mo on annual billing with a 2-seat minimum, and both AI prices and usage caps get revised often. For research, the habit that matters most is handing the assistant your sources instead of asking it to remember. Working from memory, an assistant fills gaps with confident guesses, including sources that don't exist, while one working from the report, contract or page you gave it is far easier to check. For writing, keep one shared instruction file with your tone, phrases to avoid and two or three good examples, because that lifts quality more than switching tools.
