AI meeting notes work by recording or joining a call, transcribing what was said, and producing a summary with decisions and action items. You can use the note features in your video conferencing tool, an AI assistant you give the transcript to, or a dedicated note taker. Tell participants when a meeting is recorded, and check what consent rules apply where they are.
Probably not at first: transcription in the video tool you already pay for covers most teams, and the real limit is free plans, with Zoom capping every free meeting at 40 minutes and Microsoft Teams capping group meetings at 60.
Microsoft 365 teams can try Copilot Chat, included with eligible business plans, before paying $21/user/mo for Copilot Business, and AI prices and limits change often. The part buyers underrate is what they're creating. A transcript is a written record of everything said, offhand remarks included, and it can surface in a legal dispute just like email, so set how long you keep transcripts and, unless a retention rule or legal hold applies, delete the raw ones once the summary is checked. Keep HR, legal and client-finance calls off the record by default. Then judge any tool on one output: decisions, owners and dates that land in your project tool.

Prices are each vendor’s published entry plan, recorded from its own pricing page and dated. The example column prices a team of 10: only per-user prices are multiplied; flat and per-account prices are shown as published. Change the team size in the finder.
An AI assistant drafts, summarises and researches, and business plans keep your data out of model training.

Start by checking what your meeting platform already includes, since built-in transcription avoids adding a bot to calls. If you need more, test a note taker on real meetings for transcript accuracy, storage terms and how easily action items move to your other tools.
Of the 5 video conferencing tools we track, Zoom, Google Meet, Microsoft Teams and Webex list a free plan or free tier (limits are in the table above); GoToMeeting does not. Of the 4 AI assistant tools we track, ChatGPT, Claude, Gemini and Microsoft 365 Copilot list a free plan or free tier (limits are in the table above). Free plans often limit recording length or how many meetings you can process, so check the limits against how many meetings you actually hold.
The tool captures the audio, converts speech to text and usually labels speakers. Accuracy drops with poor audio, crosstalk and specialist terms, so a clear microphone matters as much as the software.
Not always. Your video conferencing tool or an AI assistant may cover transcripts and summaries well enough. A dedicated tool makes sense when you need notes across several meeting platforms or tight links to your CRM or project tool.
We start from the job, not the product. The phrasings people search for this job (for example “best ai note taking app for teams meetings”) come from our research into how small and mid-size teams describe it. Which software categories the job takes is our editorial judgment. Every tool, entry price, billing unit and date comes from HelpCompare’s open dataset, recorded from each vendor’s own pricing page; nothing is estimated, and where a vendor publishes no price we say so. We take no affiliate commissions and publish no scores of our own. See our methodology or download the data from Open Data.
