ChatGPT vs Gemini for Teams: Which AI Assistant Fits Your Business in 2026?

For teams, Gemini is not a separate seat: it comes inside Google Workspace, from $7 a user a month. ChatGPT Business is a $20 seat that sits alongside whatever email and documents you already use. Here is what each actually buys you.

Bottom line Editorial assessment

Which is better for teams, ChatGPT or Gemini?

If your company already pays for Google Workspace, Gemini is included from $7 a user a month (annual), with full Gemini in Docs, Sheets and Meet on Business Standard at $14. Choose ChatGPT Business at $20 a seat if people need image generation, custom GPTs or Codex, or you do not use Workspace.

Heads up: AI assistants change their plans, prices, models and usage limits almost daily. Everything on this page is accurate as of September 19, 2026, the date we checked each vendor’s pricing page and documentation. Confirm current terms on the vendor’s own site before you buy.

Quick verdict: If your company already runs on Google Workspace, you already pay for Gemini. Business Starter ($7 a user a month on annual billing) includes Gemini in Gmail and basic access to the Gemini app; Business Standard ($14) adds Gemini in Docs, Sheets, Slides, Meet and Drive, Google’s Pro model with a 1M-token context, and expanded Gemini Notebook. ChatGPT Business costs $20 a seat on annual billing on top of your email and office suite, and brings image generation, custom GPTs, Codex, and connectors to Google Workspace, Microsoft 365, Slack and GitHub. The real question for a Workspace team is whether people need a second assistant beyond the one they already have.

Is ChatGPT cheaper than Gemini?

For a Google Workspace customer, Gemini adds nothing to the bill: it is part of Business Starter ($7 a user a month, annual), Standard ($14) and Plus ($22). ChatGPT Business is $20 a seat a month on annual billing ($25 monthly), in addition to your Workspace or Microsoft 365 subscription. If you do not use Workspace yet, compare like with like: Business Standard at $14 also includes business email, video meetings and 2 TB of pooled storage per user, so it replaces more than an AI subscription.

Editorial assessment

How they actually differ

These are two different kinds of purchase. ChatGPT Business is a dedicated AI seat that works alongside whatever tools you already use. Gemini for teams is a feature of Google Workspace: how much of it you get depends on your Workspace plan, and you cannot buy it without Workspace, except through Google’s separate Gemini Enterprise product.

How much Gemini each Workspace plan includes

Business Starter gets Gemini in Gmail, basic access to the Gemini app and Gemini Notebook, Gems, and a 32K-token context. Business Standard and Plus add Gemini in Docs, Sheets, Slides, Meet, Drive and Chat, Google’s Pro model with a 1M-token context, and expanded Gemini Notebook. Google lists up to 25 Pro-model prompts every 4 hours, up to 300 Thinking prompts a day and 20 Deep Research reports a day on Standard and Plus (5 a month on Starter).

Where ChatGPT goes further

ChatGPT Business includes image generation, voice, deep research, custom GPTs, workspace agents and Codex in every seat, plus connectors to Google Workspace, Slack, GitHub and Microsoft 365. Premium seats add 5x the usage with no 5-hour limit. Google’s coding agent, Jules, is not yet offered with Workspace accounts.

Data controls and memory

Workspace admins can switch Gemini conversation history off, auto-delete it after 3, 18 or 36 months, and, on Business Plus, retain and export it with Vault. OpenAI does not train on Business data by default and lists custom retention policies under Enterprise. Gemini’s memory of past chats and its official import tool work only with personal Google Accounts, not Workspace accounts.

What this means for your team

  • Audit reports: ChatGPT states a SOC 2 report on its own site; we found no SOC 2 statement for Gemini. If your security team requires SOC 2, ask Gemini directly before shortlisting.
  • Single sign-on: ChatGPT includes it on Business; Gemini includes it on Business Starter. If your team signs in through Okta, Microsoft Entra ID or Google, price the plan that includes SSO, not the entry plan.
  • Health data: ChatGPT and Gemini will sign a HIPAA business associate agreement (ChatGPT: Enterprise).
  • Working offline: Gemini needs an internet connection; ChatGPT doesn’t document an offline mode. Details are in the Offline mode row above.
  • Office-only access: ChatGPT can restrict sign-ins to approved IP ranges on Enterprise; Gemini can restrict sign-ins to approved IP ranges on Enterprise. That suits an office network or a company VPN; fully remote teams need a VPN for it to work.
  • Where your data lives: ChatGPT lets you choose US, EU, UK, Japan, Canada, South Korea, Singapore, India, Australia, UAE on Enterprise; Gemini lets you choose US, EU on Business Standard. This matters for teams hiring across the EU, UK or Australia.

ChatGPT: worth knowing

  • SecurityBusiness data residency is rolling out gradually; if a non-US region is chosen, a copy of every prompt and response is still stored in the US for a limited time for abuse monitoring. source
  • RemoteIn Business workspaces admins can view, access, export and delete member conversations, though by default they cannot see all private member chats in the product. source
  • RemoteSelf-serve Business can't pay by invoice, PO, ACH or wire; organisations needing those must buy a contracted plan such as Enterprise. source

Gemini: worth knowing

  • SecurityGemini app chats and uploads from users with a Workspace license are not human-reviewed or used to train models; users signed in with personal Google accounts do not get this protection. source
  • RemoteAdmins can retain, hold, search and export Gemini app conversations with Google Vault regardless of user deletion settings. source
  • SecurityGemini Notebook data is stored as separate copies and is not covered by the organization's data region settings. source
  • RemoteThe Gemini desktop app for Mac requires macOS Sequoia 15 or later on Apple Silicon. source

When to Buy — and When to Walk Away

Every “best AI assistant” listicle tells you why to buy. Here’s the other half: the specific conditions under which ChatGPT or Gemini is the wrong purchase for your team.

ChatGPT

Buy ChatGPT if:

  • Your team uses Microsoft 365 or a mix of tools, not only Google Workspace
  • You need image generation, custom GPTs or Codex for everyone
  • A few heavy users need Premium seats

Do NOT buy ChatGPT if:

  • You are on Workspace and only need help drafting email and documents
  • You need SCIM or custom retention without buying Enterprise
  • Your budget has no room for a second per-seat subscription

Gemini

Buy Gemini if:

  • Your company already pays for Google Workspace Business Standard or Plus
  • You want AI inside Gmail, Docs, Sheets and Meet
  • Admins need to auto-delete or retain AI chats with Vault

Do NOT buy Gemini if:

  • Your team works mainly in Microsoft 365
  • You are on Business Starter and need the Pro model or long context
  • Users rely on memory of past chats, which Workspace accounts do not get
