To automate repetitive tasks, you connect the apps you already use so that an event in one, like a new form entry or paid invoice, triggers an action in another without copy and paste. Workflow automation tools do this with a trigger and one or more actions you set up without code. AI steps can help with tasks like sorting or drafting, but a person should check their output.
Which categories a job needs is Editorial assessment; the tools, prices and dates are Verified data.
Prices are each vendor’s published entry plan, recorded from its own pricing page and dated. The example column prices a team of 10: only per-user prices are multiplied; flat and per-account prices are shown as published. Change the team size in the finder.
Automation tools connect your apps so data moves between them without copy and paste.

Use a workflow automation tool: pick a trigger in one app, then add the actions it should cause in others, and test it with sample data. Start with a simple task such as sending new form entries to your CRM before trying multi-step workflows.
Add an AI step inside an automation, for example to sort incoming messages or draft a reply, then pass the result on for a person to review. Keep AI steps away from actions that send money or messages to customers without a check.
Compare how each tool counts usage, which of your apps it connects to, and whether you want it hosted or on your own server. Of the 3 automation tools we track, Zapier, Make and n8n list a free plan or free tier (limits are in the table above). The table above shows each tool's verified entry price and billing unit.
Check your email program's own rules first: they may file, flag or forward messages without extra software. When an email needs to trigger something in another app, such as creating a task or a CRM record, that is where a workflow automation tool comes in.
We start from the job, not the product. The phrasings people search for this job (for example “how to automate repetitive tasks”) come from our research into how small and mid-size teams describe it. Which software categories the job takes is our editorial judgment. Every tool, entry price, billing unit and date comes from HelpCompare’s open dataset, recorded from each vendor’s own pricing page; nothing is estimated, and where a vendor publishes no price we say so. We take no affiliate commissions and publish no scores of our own. See our methodology or download the data from Open Data.
Built for the leader who owns the selection, answers for the spend, drives the rollout, and lives with the results. HelpCompare covers the whole decision, not just the first step.
