Switching from Microsoft 365 Copilot to ChatGPT

Most teams do not leave Microsoft 365 to use ChatGPT: they keep Copilot Chat, drop paid Copilot licences where they are not used, and add ChatGPT Business seats. Agents are rebuilt as custom GPTs.

Heads up: AI assistants change their plans, prices, models and usage limits almost daily. Everything on this page is accurate as of September 19, 2026, the date we checked each vendor’s pricing page and documentation. Confirm current terms on the vendor’s own site before you buy.

Quick verdict: Keep Microsoft 365 and its free Copilot Chat, and review who actually uses paid Copilot licences before renewal. Give ChatGPT Business seats ($20 a month each on annual billing) to people who need image generation, custom GPTs or Codex, and connect ChatGPT to Microsoft 365 so it can reach SharePoint and OneDrive files. Have an admin export Copilot history with Purview eDiscovery if you need an archive; users cannot export their own.

    What this path doesn’t do for you:

    Nothing imports: OpenAI documents no import of chats or memories from other assistants. ChatGPT does not work inside Word, Excel or Outlook, and ChatGPT Business chats are not stored in Exchange, so Purview retention and eDiscovery no longer cover them. Custom retention is an Enterprise feature on ChatGPT.

    Do I have to drop Microsoft 365 to use ChatGPT?

    No. ChatGPT Business is a standalone seat that connects to Microsoft 365. Copilot Chat stays free with your Microsoft 365 work subscription.

    Can users export their Copilot chats?

    Microsoft documents no self-service export. Admins can export Copilot interactions with Microsoft Purview eDiscovery.

    Can ChatGPT import Copilot agents?

    No. Rebuild each agent’s instructions and knowledge as a custom GPT.

    Will compliance tools still cover AI chats?

    Not in the same way. Copilot chats sit in Exchange under Purview; ChatGPT Business chats do not, and ChatGPT lists custom retention under Enterprise.

    Will my old chats be searchable in the new assistant?

    No official path moves chat history between these assistants for business accounts. Keep your export as an archive, and move the knowledge that matters (instructions, reference files, prompts) into the new tool’s projects or custom assistants.
