If you already pay for Google Workspace, dropping ChatGPT seats and using Gemini can remove a subscription. Google’s ChatGPT import, though, works only for personal accounts, so teams rebuild rather than import.
Heads up: AI assistants change their plans, prices, models and usage limits almost daily. Everything on this page is accurate as of September 19, 2026, the date we checked each vendor’s pricing page and documentation. Confirm current terms on the vendor’s own site before you buy.
Quick verdict: Confirm which Workspace plan your team is on, because it decides how much Gemini you get: Business Standard ($14 a user a month, annual) or Plus is needed for Gemini in Docs, Sheets, Slides and Meet and the Pro model. Export ChatGPT data as an archive, then rebuild each custom GPT as a Gem with the same instructions. Google’s memory and chat-history import from ChatGPT is for personal Google Accounts only and is unavailable in the EEA, Switzerland and the UK, so business users start fresh.
Most buyers only budget for the new subscription. This estimates the hidden labor, data-cleanup, and retraining cost of actually making the switch.
Estimate assumes: 1 hour of data-mapping/cleaning labor per 2,000 records, a blended $75/hr ops rate, tiered migration & cleaning tooling fees, and 4 hours of retraining per seat at a $45/hr fully-loaded rate.
Gemini is included in Google Workspace Business plans at no extra cost.
On Business Standard and Plus, Gemini works inside Gmail, Docs, Sheets, Slides, Meet and Drive.
Admins can auto-delete Gemini history after 3, 18 or 36 months and, on Business Plus, retain it with Vault.
Check your Workspace edition first. On Business Starter, Gemini is limited to Gmail and basic app access with a 32K context.
| Step | What you do |
|---|---|
| 1Export what you can from ChatGPT | On a personal plan, go to Settings, then Data controls, then Export data; a ZIP of your chat history arrives by email within up to 7 days, and the link expires after 24 hours. Business and Enterprise members have no self-service export: ask the workspace owner. |
| 2Confirm your Workspace plan | Business Standard ($14 a month annual) and Plus ($22) include Gemini in Docs, Sheets, Slides, Meet and Drive and the Pro model with a 1M-token context. |
| 3Turn on Gemini for users | In the Google Admin console, enable the Gemini app and Gemini in Workspace apps, and set conversation history and auto-delete. |
| 4Rebuild custom GPTs as Gems | Create a Gem for each custom GPT with the same instructions and reference files, and share it with the people who use it. |
| 5Move reference material into Gemini Notebook or Drive | Knowledge files that lived in GPTs or projects go into Drive or Gemini Notebook, where Gemini can use them. |
| 6Cancel ChatGPT seats at renewal | Run both for a few weeks, then reduce ChatGPT Business seats. Check your billing terms before you cut seats mid-term. |
What this path doesn’t do for you:
Workspace accounts cannot use Google’s ChatGPT import, and Gemini’s memory of past chats is personal-account only. Custom GPT actions, workspace agents and Codex workflows have no direct Gemini equivalent for Workspace users; Jules is not offered on Workspace accounts. Image generation is capped (20 a day on Starter, 100 on Standard and Plus).

Only for personal Google Accounts. Google’s import is not available for Workspace accounts, or in the EEA, Switzerland or the UK.
Not if you are on Google Workspace Business Starter, Standard or Plus; Gemini is included. Standard or Plus is needed for Gemini in Docs, Sheets, Slides and Meet.
Gems, Gemini’s reusable custom assistants, which are included on every Workspace Business plan.
Business and Enterprise members cannot export their own chats; the workspace owner handles exports.
No official path moves chat history between these assistants for business accounts. Keep your export as an archive, and move the knowledge that matters (instructions, reference files, prompts) into the new tool’s projects or custom assistants.
