Switching from Dropbox Business to Google Workspace

Google Workspace has no direct Dropbox importer for files, and moving to Workspace also means setting up Gmail on your domain — a bigger project than a storage-only switch.

Bottom line up front: What should you check before moving from Dropbox Business to Google Workspace?

Your storage, first: you save $8 a seat, but you drop from Dropbox's 3TB pooled team-wide to 30GB per person on Business Starter, and the 180-day file-recovery window has no equivalent there.

There's no importer, so files are downloaded and re-uploaded, or moved with a third-party cloud-to-cloud tool for large libraries. A pooled plan hides who is using the space. Measure usage by person or top-level folder before you plan, because the one editor with years of raw video hits a per-person limit on day one while everyone else barely notices, and the page says to budget for Business Standard if you need more than 30GB per person. Treat email as its own project on its own date, since a domain and MX-record change is where a small mistake stops mail.

Estimate assumes: 1 hour of data-mapping/cleaning labor per 2,000 records, a blended $75/hr ops rate, tiered migration & cleaning tooling fees, and 4 hours of retraining per seat at a $45/hr fully-loaded rate.

Why teams move from Dropbox Business to Google Workspace

    Lower per-seat price

$7 against $15 for Dropbox Business Standard.

    Business email included

Gmail on your own domain, not sold separately.

    Full office suite and Meet

Docs, Sheets, Slides and video meetings bundled in.

    How the migration actually works

Google Workspace Business Starter pools only 30GB per person, far less than Dropbox Business Standard’s 3TB team-wide pool — a real downgrade in storage depth.

    StepWhat you do
1Map your folder structureList top-level folders, who owns each, and which are shared externally.
2Set up the new accountCreate your Google Workspace Business Starter account, verify your domain for Gmail, and add users.
3Move your filesDownload the working folder tree from the old provider’s desktop app or web export, then upload it into the new tool’s desktop sync folder or web interface. For large libraries, a third-party cloud-to-cloud transfer tool can move files directly without a local download step.
4Rebuild sharing links and permissionsRecreate external share links and collaborator access; none of this carries over automatically.
5Point your team’s desktop sync at the new toolInstall the new sync client on each machine and confirm files are syncing before removing the old one.
6Cancel the old planOnce every team member confirms their files are in the new tool, cancel the old subscription.

What this path doesn’t do for you:

Dropbox’s large pooled storage allowance and 180-day file-recovery window have no equivalent at Google Workspace Business Starter; budget for Business Standard if you need more than 30GB per person.

    Before you cut over

    • Set up single sign-on in Google Workspace on Business Starter before you invite the team, so accounts are created through your identity provider rather than by hand.

    Frequently Asked Questions

    Does Workspace import Dropbox files?

No. Download from Dropbox and upload into Drive; large libraries can use a cloud-to-cloud transfer tool.

    Will I save money?

Yes, $8 a seat, but you lose most of your pooled storage headroom going from 3TB team-wide to 30GB per person.

Do I need to move email too?

Only if you also want Gmail on your domain — that is a separate DNS/MX-record project, not required just to move files.

Do shared links and permissions carry over?

No. Sharing links, folder permissions and collaborator lists are specific to each platform and are rebuilt by hand as you recreate the folder structure in the new tool.

How do I switch from Dropbox to Google Workspace?

Map your folders and owners, set up Google Workspace and verify your domain, then move files by downloading from Dropbox and uploading to Google Drive, or with a cloud-to-cloud transfer tool for large libraries. Recreate share links and permissions by hand, switch each computer to Google Drive sync, and cancel Dropbox once everyone confirms their files are there.
