  • Set up single sign-on in Microsoft Teams before you invite the team, so accounts are created through your identity provider rather than by hand.

TEAM COMMUNICATION · MIGRATION GUIDE

Switching from Zoom to Microsoft Teams

Switching from Zoom to Microsoft Teams is typically an IT-driven consolidation move, since most companies making this switch already pay for Teams through a Microsoft 365 subscription.

Quick verdict: Makes strong financial sense if you’re already licensing Microsoft 365 seats that include Teams, since you’d effectively be paying twice for meetings; it makes less sense if Zoom’s meeting quality and AI features are a dealbreaker for your team.

Why teams switch from Zoom to Microsoft Teams

Teams is already bundled into Microsoft 365

Most organizations paying for Microsoft 365 Business or Enterprise plans already have Teams licensed, so dropping Zoom removes a redundant line item.

Single sign-on and identity already live in Entra ID

IT teams standardized on Microsoft’s identity stack get simpler provisioning and conditional-access policies by consolidating meetings into Teams too.

Tighter Outlook and SharePoint integration

Meeting invites, chat, and shared files stay inside the same Microsoft ecosystem instead of round-tripping through a separate Zoom account.

How to migrate your data

As with any video-conferencing switch, this is an admin and calendar exercise, not a content migration.

StepWhat happens
1Export cloud recordingsDownload or archive Zoom cloud recordings and transcripts before touching admin settings, since recordings don’t transfer between platforms.
2Inventory scheduled meetingsList every recurring meeting series, webinar, and personal meeting link in Zoom so nothing gets dropped when it’s recreated in Microsoft Teams.
3Provision users and SSO/SCIMSet up the org in Microsoft Teams’s admin console and connect SSO/SCIM so accounts, groups, and licenses match what IT already manages.
4Re-point calendar integrationsSwap the Zoom scheduling add-in for Microsoft Teams’s Outlook/Google Calendar plugin so new invites default to the right tool.
5Rebuild recurring meetings and webinarsManually recreate recurring meeting series, webinar registration pages, and any hardware-room pairings inside Microsoft Teams.
6Pilot, retrain, and cut overRun both tools in parallel with a pilot group, retrain staff on Microsoft Teams’s interface, then disable Zoom licenses on a set date.
What Microsoft Teams’s importer doesn’t handle: None of these tools import each other’s meeting history, chat logs, or recordings automatically — cloud recordings, webinar registrant lists, and scheduled meeting series all have to be exported or rebuilt by hand. Note this guide covers Zoom Meetings versus Teams meetings/calling specifically — migrating Slack or other chat history into Teams chat is a separate project with its own tooling.

Pricing during the transition

Here’s how Zoom and Microsoft Teams plans stack up, from free tier to the mid-market plan most switching teams land on.

PlanZoomMicrosoft Teams
Free planFree (Basic) plan: $0 — 40-min cap on group meetings, up to 100 participantsTeams Free: $0 — chat, calling, and basic meetings for individuals/small groups
Entry paid tierPro: $14.16/user/month billed annually ($16.99 billed monthly)Teams Essentials: $4/user/month, paid yearly (annual subscription)
Mid tierBusiness: $18.33/user/month billed annually ($21.99 billed monthly), up to 300 participantsMicrosoft 365 Business Basic (bundles Teams + email + 1TB storage): $7/user/month, paid yearly (annual subscription)

Compare Teams pricing against what you’re already paying for Microsoft 365 seats; for many orgs the ‘entry tier’ cost is effectively $0 incremental since Teams is already included.

Feature-parity checklist

Teams leads on ecosystem integration; Zoom still leads on dedicated meeting features for many teams.

Frequently Asked Questions

Do we lose our Zoom recordings when we switch?

Yes, unless you export them first: Zoom cloud recordings need to be downloaded or moved to storage like SharePoint before you cancel the account.

Is Teams meeting quality as good as Zoom’s?

It’s improved significantly but some teams still report more variability at large scale; test with your actual room hardware and meeting sizes before a full cutover.

Do we need Copilot to get AI meeting notes in Teams?

Largely yes: Teams’ native AI notetaking is tied to Microsoft 365 Copilot, which is a separate paid add-on on top of your Teams plan.

What about existing Zoom Room hardware?

Most Zoom Room hardware isn’t natively compatible with Teams; check with the room-system vendor about a Teams-certified firmware or plan on replacing panels.

How disruptive is retraining staff on Teams?

Low if staff already use Teams for chat; higher if this is their first exposure to the Microsoft 365 app family, since navigation differs meaningfully from Zoom’s simpler interface.
