Clockify documents a Toggl import: export Toggl’s Detailed report as CSV and upload it. Seat costs usually fall by more than half.
Heads up: Toggl now sells Toggl Track inside its unified Toggl plans (time tracking plus planning). Prices here are the ones new customers see on toggl.com/pricing, checked September 19, 2026. Existing Toggl Track accounts keep their current plans.
Quick verdict: Export Toggl’s Detailed report as CSV for your whole history, invite your team to Clockify first (rows are matched by email), then upload the file in Clockify’s Workspace settings, then Import; the importer creates projects, clients, tags and tasks. Importing time entries needs a paid plan or trial. Rebuild rates, approvals and reports by hand.
Most buyers only budget for the new subscription. This estimates the hidden labor, data-cleanup, and retraining cost of actually making the switch.
Estimate assumes: 1 hour of data-mapping/cleaning labor per 2,000 records, a blended $75/hr ops rate, tiered migration & cleaning tooling fees, and 4 hours of retraining per seat at a $45/hr fully-loaded rate.
Clockify’s paid plans are $3.99 to $11.99 a seat a month on annual billing, against Toggl’s $9 and $16.
Clockify adds a shared clock-in kiosk from Basic and GPS on Pro.
Clockify invoices from tracked time on Standard and up.
Pick the Clockify plan first: approvals, invoicing and time off start on Standard ($5.49 a seat, annual); SSO needs Enterprise.
| Step | What you do |
|---|---|
| 1Export your Toggl data | Export the Detailed report for your full date range as CSV or Excel (paid plans). Admins can also export workspace data from Settings, then Data Export; Toggl emails a link valid for 72 hours, with data as JSON and invoices as PDF. |
| 2Set up Clockify and invite users | Create the workspace and invite everyone before importing, because Clockify matches time entries to users by email. |
| 3Import the Toggl CSV | In Workspace settings, then Import, upload the Toggl Detailed report. Clockify creates projects, clients, tags and tasks; time entries need a paid plan or the trial. |
| 4Recreate rates and approvals | Set billable rates per workspace, user or project (Basic and up) and turn on approvals (Standard and up). |
| 5Install the apps | Roll out Clockify’s desktop, mobile and browser apps, and set up the kiosk if staff clock in on a shared device. |
| 6Run both for a pay period | Compare totals against Toggl for one billing cycle, then remove Toggl users so vacant licences stop billing. |
What this path doesn’t do for you:
Billable rates, estimates, approvals and saved reports do not import; rebuild them. Toggl’s planning features (timelines, milestones, capacity) have no direct Clockify equivalent below Pro, where Clockify adds scheduling and forecasting.
