TEAM COMMUNICATION · MIGRATION GUIDE

Switching from GoToMeeting to Zoom

Moving from GoToMeeting to Zoom is the far more common direction, usually driven by teams that outgrow GoToMeeting’s meeting-only feature set and need webinars, larger rooms, or AI-driven meeting tools.

Quick verdict: Worth it for teams whose meeting needs have grown beyond basic screen sharing — Zoom’s broader participant caps, webinar tooling, and AI Companion justify the switch for most mid-market teams.

Why teams switch from GoToMeeting to Zoom

Need for real webinar and large-event tools

Marketing and customer-success teams outgrow GoToMeeting fast once they need registration pages, larger attendee caps, or post-event analytics.

AI meeting assistant expectations

Zoom AI Companion’s summaries and smart recordings have become a baseline expectation that GoToMeeting doesn’t match at a comparable price.

Broader third-party integration marketplace

Zoom’s App Marketplace connects directly to more CRMs, calendars, and collaboration tools than GoToMeeting’s more limited integration list.

How to migrate your data

Same as any video-conferencing switch: there’s no content to import, just admin setup and calendar rewiring.

StepWhat happens
1Export cloud recordingsDownload or archive GoToMeeting cloud recordings and transcripts before touching admin settings, since recordings don’t transfer between platforms.
2Inventory scheduled meetingsList every recurring meeting series, webinar, and personal meeting link in GoToMeeting so nothing gets dropped when it’s recreated in Zoom.
3Provision users and SSO/SCIMSet up the org in Zoom’s admin console and connect SSO/SCIM so accounts, groups, and licenses match what IT already manages.
4Re-point calendar integrationsSwap the GoToMeeting scheduling add-in for Zoom’s Outlook/Google Calendar plugin so new invites default to the right tool.
5Rebuild recurring meetings and webinarsManually recreate recurring meeting series, webinar registration pages, and any hardware-room pairings inside Zoom.
6Pilot, retrain, and cut overRun both tools in parallel with a pilot group, retrain staff on Zoom’s interface, then disable GoToMeeting licenses on a set date.
What Zoom’s importer doesn’t handle: None of these tools import each other’s meeting history, chat logs, or recordings automatically — cloud recordings, webinar registrant lists, and scheduled meeting series all have to be exported or rebuilt by hand.

Pricing during the transition

Frequently Asked Questions

Do my GoToMeeting recordings carry over to Zoom?

No, download your GoToMeeting cloud recordings first, since there’s no built-in migration path for meeting history or recordings.

Can end users keep using their old meeting links?

No, every recurring meeting and personal room link needs to be recreated in Zoom; old GoToMeeting links stop working once the account is cancelled.

Is Zoom harder to administer than GoToMeeting?

It has more settings to configure (AI Companion controls, marketplace app permissions, webinar licensing) but the admin console is comparably straightforward.

Will Zoom’s free tier cover us during the transition?

Only for very small teams: the 40-minute cap on group meetings makes the free Basic plan impractical for most business use during a migration pilot.

What’s the biggest gotcha teams miss?

Forgetting to update calendar add-ins on every user’s machine, which leaves people still generating GoToMeeting links weeks after the official cutover.
