Bottom line up front: What does moving a team from Asana to Motion actually involve?

Mostly rebuilding by hand, since Asana exports each project as CSV or JSON but Motion documents no Asana importer, only Zapier, its API or manual setup.

Asana rules, forms, portfolios and comment history don't transfer, and timeline, Gantt and time tracking need Business AI at $29 a seat a month on annual billing. The bigger job is one no export does for you: Motion schedules a task only once it has a duration and a deadline, and most teams log due dates, not how long the work takes. So I'd pilot with one team on 3 or 5 seats, since Motion sells seats in those counts, and have them estimate every open task before they connect their calendars. Keep the JSON exports as your archive of comments and history. Leave Asana read-only until the pilot team's calendars match how they really work, then cancel at the end of its term.

    Before you cut over

    • Set up single sign-on in Motion before you invite the team, so accounts are created through your identity provider rather than by hand.
    • People who rely on Asana offline will lose that: Motion doesn’t document an offline mode. Tell field and travelling staff before the switch.
    • If you restrict Asana to office or VPN IP addresses today, check how you will enforce the same rule in Motion; we found no IP allowlisting documented.
    • Asana offers a HIPAA BAA; we found none for Motion. Don’t move protected health information until that is settled.
