Microsoft has no Zoho importer. Its IMAP migration moves email only; contacts, calendars and files move separately.
Quick verdict: Upgrade off Zoho’s free plan if needed (it has no IMAP), set up Microsoft 365 and verify your domain, run an IMAP migration batch in the Exchange admin center for email, then export contacts and calendars from Zoho and import them into Outlook, and move WorkDrive files to OneDrive or SharePoint. Switch MX records last.
Most buyers only budget for the new subscription. This estimates the hidden labor, data-cleanup, and retraining cost of actually making the switch.
Estimate assumes: 1 hour of data-mapping/cleaning labor per 2,000 records, a blended $75/hr ops rate, tiered migration & cleaning tooling fees, and 4 hours of retraining per seat at a $45/hr fully-loaded rate.
Business Standard and Premium include desktop Word, Excel and PowerPoint.
OneDrive plus a 100 GB mailbox on every Business plan.
Intune, Defender and archiving on Business Premium.
Upgrade off Zoho’s free plan before you start: it does not include IMAP.
| Step | What you do |
|---|---|
| 1Enable IMAP on Zoho | Zoho’s Forever Free plan has no IMAP; move to a paid plan for the migration. |
| 2Prepare Microsoft 365 | Buy licences, verify your domain and create users. |
| 3Migrate email over IMAP | Create an IMAP migration batch in the Exchange admin center; Microsoft notes it does not migrate contacts, calendar items or tasks. |
| 4Move contacts, calendars and files | Export contacts and calendars from Zoho and import them into Outlook; move WorkDrive files to OneDrive or SharePoint. |
| 5Switch your domain’s mail records | When the copy is complete, point your domain’s MX records at the new provider and add its SPF, DKIM and DMARC records. Run a final incremental sync afterwards to catch mail that arrived during the change. |
| 6Cancel Zoho | Export mailboxes as ZIP or PST from Zoho’s admin console first. |
What this path doesn’t do for you:
Only email moves through Microsoft’s IMAP migration. Contacts, calendars, files, Zoho Vault passwords and Cliq chats need separate handling.
