Switching from Zoho Workplace to Microsoft 365

Microsoft has no Zoho importer. Its IMAP migration moves email only; contacts, calendars and files move separately.

Quick verdict: Upgrade off Zoho’s free plan if needed (it has no IMAP), set up Microsoft 365 and verify your domain, run an IMAP migration batch in the Exchange admin center for email, then export contacts and calendars from Zoho and import them into Outlook, and move WorkDrive files to OneDrive or SharePoint. Switch MX records last.

    1 TB per user

OneDrive plus a 100 GB mailbox on every Business plan.

    Security bundle

Intune, Defender and archiving on Business Premium.

    How the migration actually works

Upgrade off Zoho’s free plan before you start: it does not include IMAP.

    StepWhat you do
1Enable IMAP on ZohoZoho’s Forever Free plan has no IMAP; move to a paid plan for the migration.
2Prepare Microsoft 365Buy licences, verify your domain and create users.
3Migrate email over IMAPCreate an IMAP migration batch in the Exchange admin center; Microsoft notes it does not migrate contacts, calendar items or tasks.
4Move contacts, calendars and filesExport contacts and calendars from Zoho and import them into Outlook; move WorkDrive files to OneDrive or SharePoint.
5Switch your domain’s mail recordsWhen the copy is complete, point your domain’s MX records at the new provider and add its SPF, DKIM and DMARC records. Run a final incremental sync afterwards to catch mail that arrived during the change.
6Cancel ZohoExport mailboxes as ZIP or PST from Zoho’s admin console first.

What this path doesn’t do for you:

Only email moves through Microsoft’s IMAP migration. Contacts, calendars, files, Zoho Vault passwords and Cliq chats need separate handling.

    Frequently Asked Questions

Can Microsoft 365 import from Zoho?

Email only, with an IMAP migration batch. Microsoft says IMAP migration does not move contacts, calendar items or tasks.

Why won’t IMAP work on Zoho’s free plan?

The free plan does not include IMAP, POP or ActiveSync.

    Will it cost more?

Yes: Business Basic is $7 a user a month on annual billing and Standard $14, against $3 for Zoho Workplace Standard.

How long does an email migration take?

It depends on mailbox sizes and the number of users; run a pilot with a few mailboxes first and schedule the MX switch for a quiet period.
