Editorial assessmentMicrosoft 365 is the default where Word and Excel files rule. Zoho Workplace offers the same building blocks (mail, documents, chat, meetings, file storage) at a fraction of the price, with less storage and fewer bundled security tools.
Microsoft 365 Business Standard and Premium include desktop Word, Excel, PowerPoint and Outlook for up to 5 PCs or Macs per user. Zoho’s Writer, Sheet and Show run in the browser; Writer has a free desktop app, and Zoho’s Trident desktop app covers mail, calendar and chat.
Microsoft 365 Business Premium bundles Intune device management, Defender for Business, archiving with holds and Purview data loss prevention. Zoho puts retention, eDiscovery, S/MIME and mobile access management on Workplace Professional and Mail Premium, with SAML single sign-on on all paid plans.
Zoho offers one-click migration of mail, contacts and calendar from Microsoft 365, and WorkDrive imports OneDrive but not SharePoint libraries. Zoho warns that Microsoft is switching off Exchange Web Services from October 1, 2026, and that archive-mailbox migration will stop then. Microsoft has no Zoho importer: its IMAP migration moves email only.
