How to audit your SaaS stack in 20 minutes

Most teams don’t overspend on one big tool. They overspend on the eight small ones nobody owns. This is the order we’d work in, and the checker above does the arithmetic.

  1. List every tool someone pays forPull the card statement and the expense reports, not just what IT knows about. Duplicates hide here: two video tools, two storage plans, a CRM nobody opens.
  2. Count the seats you actually usePrice the people who log in, not the people who were invited once. Per-seat tools are where the gap between paid and used gets expensive.
  3. Price it at list, with sourcesStart from each vendor’s published entry price, dated, so finance can check it. Then note where you pay more: a higher plan, add-ons, AI charges, or a monthly bill instead of annual.
  4. Check the cheapest listed option in each categoryA lower list price is a lead, not a decision. Read the head-to-head comparison for what you’d give up, and the migration guide for what the move costs.

Where do the prices come from?

From each vendor’s own pricing page, recorded with the date we checked it, in the same open dataset behind every HelpCompare page. Each tool links to its page with the source.

How is the cost for my team calculated?

Only by arithmetic on published prices: the entry plan’s price for the seats you enter, including any seat minimum the vendor publishes. Flat-priced tools are counted once. Quote-only and per-transaction tools are labelled instead of calculated. Higher plans, annual-versus-monthly differences, tax, add-ons and discounts are not included.

What does “cheapest listed in its category” mean?

The tool with the lowest published entry price, for the same seats, among the tools we track in that category. It is a fact about list prices, not a recommendation: plans differ in features and limits, so read the comparison first.

Is my stack saved or sent anywhere?

No. Your tools and seat counts are kept in the page address, so you can bookmark or share the link. This browser also remembers your last total so it can tell you if prices changed since your last visit. Nothing is sent to HelpCompare.

Why did my total change?

We re-check vendor pricing pages and update the dataset when a price changes. Your saved link always uses the latest verified prices, so the total moves when a vendor changes theirs.
